We are currently seeking a Receptionist/Administrative Assistant to join our team. This role is essential in ensuring smooth front-office operations while supporting various administrative tasks that contribute to a positive and professional workplace environment.
Job Overview
As the first point of contact for visitors and clients, the Receptionist/Administrative Assistant creates a welcoming atmosphere and ensures efficient day-to-day operations at our front desk. This position also provides vital administrative support across departments, maintaining organization, accuracy, and professionalism in all interactions.
Key Responsibilities
Front Desk & Customer Service
- Greet and welcome visitors, creating a friendly and professional first impression.
- Answer and direct incoming phone calls promptly and courteously.
- Maintain a clean, organized, and inviting reception area.
- Assist visitors and customers by providing information or directing them to the appropriate personnel.
Administrative Support
- Process and manage incoming cheques, including verifying account details, preparing deposits, and maintaining deposit logs.
- Assist with document management such as scanning, copying, and forwarding shipping/receiving forms.
- Update information in company systems (IHQ, CDK, Marketbook, Iron HQ) as required.
- Support sales and marketing by updating listings, ads, and tracking lead sources.
- Coordinate mail distribution, courier services, and office supply orders.
- Schedule appointments and manage meeting room bookings.
Other Duties
- Support various departments with administrative tasks as needed.
- Maintain confidentiality and professionalism in handling company and client information.
Qualifications & Experience
- High school diploma or equivalent (post-secondary education in Office Administration is an asset).
- Previous experience as a receptionist or in an administrative/customer service role is preferred.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Strong organizational, communication, and multitasking skills.
- Friendly and approachable demeanor with a customer-focused attitude.
Working Conditions
- Office-based role, primarily at the front desk.
- Standard full-time hours, with occasional overtime during busy periods.
- Frequent computer and phone use; sitting for extended periods.
